Here you will find important information as well as marketing opportunities available to exhibitors to help you get the most out of your participation in The ASSEMBLY Show taking place October 21-23, 2025 at the Donald E. Stevens Convention Center in Rosemont, IL.

The return of all empty crates and cartons will take approximately 4 hours. Please plan accordingly and do not book early flights as move-out takes time.

BOOTH REGULATIONS, HEIGHT RESTRICTIONS & HANGING SIGNS

The ASSEMBLY Show follows the International Association of Exhibitions and Events (IAEE) Guidelines for exhibition displays. If you have specific questions regarding your booth space please contact:

Height Restrictions:

  • Island & Peninsula Booths = 18 feet
    (some booth locations have lower clearance and may not exceed 16ft. - check with RES for your specific location height restrictions)
  • Perimeter Booths = 4 feet in front half of booth; 12 feet in back of booth
  • Linear Booths = 4 feet in front half of booth; 8 feet in back of booth

Hanging Signs/Banners:
Island and Peninsula booths 20'x20' or larger may hang banners or signs above their booth to a maximum height of 18ft and may not exceed the width of the contracted booth space. It is recommended that banners/signs are hung 11' from the ground to the bottom of the banner.  There are some booth locations that have lower clearance and may not exceed 16ft and other island booths may have higher clearance and height restrictions may be increased upon request. Check with show management (abbottk@bnpmedia.com) or RES for your specific location height restrictions.

All hanging signs must be sent to RES warehouse, using the hanging sign shipping label included in the exhibitor service manual.

EXHIBITOR SERVICES MANUAL The Rosemont Exposition Services (RES) is the official show decorator of The ASSEMBLy Show. The Exhibitor Services Manual includes important details and deadlines regarding booth furniture, carpet, electrical, utilities, labor, shipping and other important services you may need for your booth.

LIABILITY INSURANCE

INSURANCE DEADLINE: August 29, 2025

As a standard requirement for all of our show exhibitors, it is necessary for you to carry general liability coverage from an insurance company in good standing. Having insurance will protect your company, employees, and volunteers, should a claim arise against you for something that occurred at your booth.

Proof of insurance is mandatory.

Your certificate of liability insurance MUST include the following:

  • Minimum policy limits of $1,000,000 per occurrence and $2,000,000 aggregate.
  • Insurance coverage must be in force during event dates: October 16-24, 2025.
  • Certificate Holder: BNP Media (550 W Merrill St., Suite 200, Birmingham, MI 48009)
  • Named as additional insured: BNP Media and Donald E. Stephens Convention Center.

EXHIBITOR REGISTRATION

Each exhibitor receives three (3) complimentary EXPO ONLY registrations per 100nsf of paid exhibit space. Exhibitors will be provided a custom complimentary registration code via email to register their staff online. If additional registrations are needed above and beyond complimentary allotment, they may be purchased at a discounted rate.

COMPANY LISTING

LISTING DEADLINE: August 15, 2025

Exhibitors receive a company listing on the event website's floor plan for pre-event exposure, in the on-site Show Program and the event mobile app. A standard listing includes company name, address, phone number, website, booth # and 100 word company profile.

Exhibitors will receive an email in July 2025 with the link to udpdate their listing and product categories.  The information uploaded to the floor plan will be used to create the company listing in the on-site Show Program and Mobile App. If you have any questions or need assistance uploading your company listing,  please contact:

PRE OR POST SHOW EMAIL

POST-SHOW EMAIL REQUEST DEADLINE: January 2, 2025

As an exhibitor, you have the opportunity to send an email directly to event attendees that opted-in to receive third-party communications.  Each exhibitor has the choice of sending one Pre-show OR Post-show email to event attendees. 

Pre-show emails can be scheduled to deploy from August 23 - October 21, 2024.  Post-show emails can be scheduled to deploy from October 25, 2024 - January 22, 2025.  All deployment dates are not made available on a first-come, first-served basis. Email request form must include email material (HTML) to schedule a date.

PRESS & MEDIA EXPOSURE

One of the top five reasons exhibitors participate in a trade show is to gain exposure through media coverage. BNP Media has teamed up with Riemer Communications to provide exhibitors a cost effective way to communicate messages about their new products and services to editors, reporters and bloggers that have been invited as well as those that have registered for the event. News stories that come out of a trade show can make a company's entire year. For a new company or product, it can put them on the road to success.

The ASSEMBLY Show will generate a lot of excitement and media interest, and there are many free ways to get your name out in the media.

  • Post Your Company Press Releases on Event Website
    The ASSEMBLY Show will post your company press release to the Industry News feed at no charge. This section o four website is where we are directing all of the press & media to check out the latest news from the Show and ASSEMBLY exhibitors. We invite you to submit your press releases concerning new product announcements, important company news or any features regarding your show participation.
  • Share your company's story with our registered press
    Many of the industry trade publications are already working on pre-show issues and they are looking for information from the exhibitors to help them write the most complete and comprehensive coverage about The ASSEMBLY Show. We encourage you to send press materials to all of the trade editors.
  • Drop off press kits in The ASSEMBLY Show Press Office
    We encourage exhibitors to display their company information in the Press Room for media access. The ASSEMBLY Show press room will be located on-site at the Donald E. Stephens Convention Center in Rosemont, IL. Up to 25 kits may be dropped off in the press room onsite. The press room will be restricted to accredited members of the working press.

HOTEL & TRAVEL

Hotel Block: The ASSEMBLY Show hotel block will open Spring 2025. All partner hotels will offer 24 hour, complimentary shuttles to/from O'Hare International Airport.

Parking: A public parking garage ($15.00) is located behind the Embassy Suites (across from the Convnetion Center) and is connected to the Convention Center via skybridge walkway. The ASSEMBLY Show does not validate parking.
